Chatting, working together on documents, sharing updates – MS Teams can do a lot of things that make our day-to-day working lives easier. But the smart tool also has its weaknesses, especially when it comes to internal communication. Here we tell you about three gaps that cannot be filled by Microsoft Teams and at the same time we tell you about a solution that takes all of your internal communications to an entirely new level. To summarize briefly for anyone not familiar with Microsoft Teams:
Microsoft Teams (MS Teams for short) is a collaboration, communication and video conferencing tool. The program works like a virtual workstation on which you can interact and work on documents with colleagues. The chat function is particularly popular. Other M365 products are also integrated into MS Teams – SharePoint, for example, Outlook and Skype for Business.
Three fundamental building blocks of IC that are beyond MS Teams
In our experience, MS Teams is good for the standard applications mentioned above (according to studies, other features for power users are used by only three percent of Teams users worldwide). But when it comes to delivering internal communications, Teams falls somewhat short of the mark. Here are three big gaps that Microsoft Teams is currently unable to fill:
1. Where is the center?
In MS Teams there is no central location for organizing important information in the medium to long term and then making it available to all employees at the same time. There are many different points of contact, but no unchanging center. Thus, for example, there are project and departmental channels in Teams where employees can find information quickly about these specific areas. But when it comes to providing company-wide information for all employees, a different tool must be used.
2. Crowded
Communication is good – order is better. As soon as there are too many employees on too many different Teams channels, it becomes confusing. The channels are a mixture not only of various messages, but also of updates from different teams, departments, projects and topic areas. Even in a medium-sized company, that simply makes it impossible to establish a consistent communication style. The result: messages are left unread, the information overload becomes an obstacle, and everything ends in unstructured chaos. So a solution is needed in which employees do not miss the most important news and in which content can be made available to everyone long-term and in a well-structured way.
3. Complexity? Increasing.
MS Teams is deeply integrated into the world of M365. Along with SharePoint, Yammer and more recently Viva Connections, MS Teams represents only a part of the information and collaboration structure of M365. This means that users are repeatedly removed from Teams automatically, suddenly find themselves in other tools of M365, and quickly get lost.
Conclusion
MS Teams is for teams – and is good for messaging and (video) calls. But when it comes to events, wikis and company news which must be sent to specific target groups or directly to everyone, MS Teams is not the right tool in our experience.
